Archiving and Deleting Students

There are two ways to remove a student profile: archive and delete. They look similar but behave very differently. Pick the one that matches your intent.

Archive

Archive ends a student's access but keeps their data.

• Sign-in is blocked — the student can no longer practice on iPad.
• Learning history is preserved — XP, streaks, attempts, reports all remain in your account.
• Billing/capacity depends on the organization type — family purchases are tied to the same student, while school seats can be reused.
• Unarchive later — bring the student back with all progress intact if billing or school capacity allows it.

Use archive when:

• A student is finishing the program but you might want their report later.
• A child is taking a long break.
• You want to stop access without losing the data.

Delete

Delete is permanent and removes the student's data.

• Sign-in is blocked permanently.
• Learning history is destroyed — XP, streaks, attempts, reports are gone.
• Billing/capacity depends on the organization type.
• Cannot be undone.

Use delete when:

• You explicitly need the data gone (privacy request, mistaken profile creation).
• You're certain the student will not come back.

How billing and seats interact

For family accounts, each Stripe purchase belongs to one specific student profile. Archiving or deleting a family profile does not create a reusable paid seat or transfer access to another child.

For school accounts, seats are still capacity:

• Adding a student: needs a free seat.
• Archiving a student: frees a seat.
• Unarchiving a student: needs a free seat.
• Deleting a student: frees a seat.

Staff and admin accounts do not use seats.

Where to do this

• Family: Dashboard → Students → open the student → Archive or Delete.
• Non-Alpha school: Same path.
• Alpha school: Don't archive or delete from the Scribble dashboard. Use Timeback. Linkage updates at the next roster sync.
